How to Choose a Dispensary POS System (Stop Reading Feature Lists)

Search how to choose a dispensary POS system and you'll get the same checklist ten times: inventory management, loyalty, reporting, hardware compatibility. Every vendor's demo hits those points, because every POS handles them fine on a normal Tuesday. What no checklist covers is Friday night when METRC goes down, or when your processor drops mid-rush and forty people are staring at a budtender who can't ring anyone up.

That's the real decision. What the system does the hour it breaks.

The checklist gets the order of operations backward

Ask any GM who has lived through a state track-and-trace outage what they were thinking about at the register. The question was whether the point of sale could keep selling with a manual override and reconcile against METRC once the state system came back, or whether the till just locked and everyone went home early.

If your POS stops selling when METRC goes down, nothing else on the feature list matters. One bad night costs more than a slightly better loyalty dashboard saves you in a year. So ask that question in the demo before you ask about anything else: what happens at the register when the state system is unreachable? Time how long the answer takes. Then ask them to show you, live, instead of describing it.

Payments break more often than people admit out loud

Cannabis processors get shut off. It happens to operators with clean books, five years of history and a compliance lead who does everything right, because the underlying banking relationships are still fragile across the whole industry. When it happens, you learn fast whether your POS and your payment processing are one system or two systems duct-taped together with an integration doc from 2019.

Here's the version of this that ruins a weekend. The processor drops, and because the payment layer is where the sale gets recorded, your inventory counts and your compliance reporting go dark with it. Now you're fixing two problems at once with a line out the door. TreezPay runs inside the same system as your POS, so a payment issue stays a payment issue. Almost nobody prices that out during a sales cycle.

How to choose a dispensary POS system when every demo looks identical

Every demo is built to look clean. Ask for the opposite. Ask to see the interface mid-error. Ask what a manual price override actually requires at the register, and how many screens a budtender clicks through to process a return with six people waiting. The vendor confident enough to show you the ugly parts has usually dealt with them enough times to have fixed them.

Then talk to a reference customer who has been live eighteen months or longer. Six weeks in, everyone loves their new POS. Eighteen months in, you find out what breaks on a schedule, and whether support picks up the phone or routes you to a ticket queue that answers Tuesday.

Integrations decide what you can add later

Plenty of operators pick a system for what it does today and get boxed in a year later when they want ecommerce, a loyalty program that does more than a punch card with extra steps, or analytics that goes deeper than a daily sales PDF. Check for an open API and a real partner network. Ask what a new integration costs, and whether the answer involves a custom build and a six-month queue.

How to choose a dispensary POS system you won't migrate off twice

Everyone evaluates the new system. Almost nobody stress-tests the switch itself, which is where otherwise good decisions go sideways. A migration that drags for six weeks shows up as shrink, as staff hesitating at the register during a rush, as a regular who came in specifically to burn the 800 points that no longer exist. Ask exactly how switching from your current POS works: what moves automatically, what someone on your team retypes by hand, and how many days your stores run half on the old system and half on the new one.

FAQ

How long should a dispensary POS migration take? One to two weeks for a single store, including staff training. Multi-location moves run longer. If anyone quotes more than a month per store, ask what's taking so long. Usually it's a data or integration problem wearing a training-problem costume.

What's the biggest hidden cost in a dispensary POS system? Downtime. Two hours dark on a Saturday afternoon costs most stores more than a year of the price difference between the cheap option and the good one. Price the contract, then price an hour of downtime at your busiest location, and put both numbers on the same page.

Should compliance features or sales features drive the decision? Compliance first. A POS that sells beautifully and mishandles a METRC sync gets your license looked at. A POS with a mediocre loyalty module means you run loyalty somewhere else for a while.
